Construction Management Adminsitrative Assistant at New York

NY Construction Management firm is seeking a well organized, enthusiastic, communicative, and proactive, full time Administrative Assistant

Role includes :

  • Assisting Estimating Department in all aspects of the bid process - duties include downloading and managing drawings, RFIs, subcontractor proposals, maintaining & tracking logs, tracking due dates and proposal preparation.

  • Administrative back-upto the Project Management department -daily administrative tasks include, but not limited to,preparing & managing shop drawings, submittals, RFIs,meeting minutes, MS Project schedules,drawing logs, change order management, project close out documents; project file maintenance and general document processing.

  • Processing purchase orders; receiving, verifying & entering invoices into accounting system (Timberline); managing insurance certificates, assisting vendors with issues as needed; Working on Excel spreadsheets and Word documents when creating and reconciling reports,A/R billing, job cost reportsetc.

  • General administrative office duties (copying, scanning, mailings, fed-ex, deliveries, maintaining filing system;telephone duty etc.)

Requirements:

  • Candidate must be proficient in Microsoft Office, with emphasis on Word, Outlook and Excel. Knowledge of MS Project & Timberline a plus.
  • Must be detail oriented and able to work well under pressure, must possess strong communication, organizational & analytical skills.
  • Ability to work independently & able to handle multiple tasks in a fast pace environment
