Patient Service Supervisor at Babylon

We currently have an opportunity for a Patient Service Supervisor in our Babylon Office.

The Patient Services Supervisor holds a mid-level management position within QLIMG and is responsible for providing the overall day to day management, organization and directing of all Patient Services Representative (PSR)  staff.  In specific locations, this position may also provide management and direction for Call Center staff or perform administrative support functions as an incidental part of the position.

  • Responsible for disseminating and enforcing department and group procedures under the direction of the Operations Manager; conducts regular meetings with PSR staff to provide updates on facility and corporate changes.
  • Administers/monitors time and attendance of all non-exempt PSR employees; approves requests for paid time off, in cooperation with Operations Manager.
  • Performs timely employee evaluations of all direct reports according to HR policies; contributes, as appropriate, to evaluations of employees supervised by others.
  • Meets with all direct reports at least twice a year to provide feedback and coaching.
  • Works cooperatively with Operations Manager to implement PSR disciplinary process and administer grievance procedures in accordance with QLIMG’s human resource standards and respective Union procedures.
  • Provides supervision and training adequate to ensure that QLIMG standards and metrics are met in the scheduling of appointments and facilitation of patient services through phone, e-mail, and direct patient contact.
  • Identifies and resolves patient-related problems, within Medical Group guidelines and in a timely and courteous manner.
  • Understands and works within the role of a “working manager".  Substitutes for and performs the duties of PSR and other personnel as required by workload necessity, and/or as directed by the Operations Manager.
  • Ensures that PSR staffing is appropriate based on patient volume; schedules all PSR staff to ensure adequate coverage for the location.
  • Ensures appropriate documentation by PSR staff.  Provides management with accurate and timely reports and maintains logs, reports, and records in compliance with organizational guidelines.
  • Works within scope to assure equipment and facilities are safe and clean, and medical equipment is operating properly.
  • Reviews and communicates information and potential solutions regarding patient satisfaction, risk, and operating issues to Operations Manager. 
  • Understands and follows HIPAA rules and regulations.
  • Within scope of responsibility, initiates supply orders and controls operating expenses
 Requirements

Position Requirements:

High School Diploma or equivalent.  Associates degree strongly preferred.

Minimum 3-5 years administrative experience in medical practice setting, involving direct patient contact and responsibility for problem-solving.

Minimum 2 years prior supervisory experience; physician group practice management experience preferred.

Knowledge of organizational policies, procedures and systems as well as clinical office procedures.

Knowledge of computer systems, programs and applications including Microsoft Office and clinical and scheduling applications.  AllScripts experience preferred. 

Knowledge of medical practices, terminology and reimbursement policies.

Excellent verbal and written skills to ensure professional, effective and clear communication with medical staff, employees, patients and clients.

Skill in exercising a high degree of initiative, judgment and discretion in developing, interpreting and implementing departmental policies and procedures

Skills in operating a broad spectrum of office equipment.

Ability to evaluate the effectiveness of existing methods and procedures and implement changes as appropriate.

Ability to read, interpret and apply policies and procedures.

Ability to set priorities among multiple requests.
