Position Title: Executive Assistant to Office of the President/Staff Liaison to the Board
Reports to: President & CEO and EVP & General Manager
Department: Administration
Status: Full-Time/Exempt
JOB SUMMARY
This individual is expected to be a full participant in achieving Station mission and objectives with specific responsibility for providing high-level administrative and communications support to the President & CEO, the Executive Vice President & General Manager, and the WXXI/Little Theatre Film Society Board of Trustees.
ESSENTIAL FUNCTIONS
Executive Assistant to the President/CEO and EVP/GM
- Coordinate highly intricate calendars for both the President/CEO and the EVP/General Manager.
- Provide professional, high-level support for President and GM
- Interact on a daily basis with senior and general staff, donors, guests and volunteers as a representative of the executive office. Coordinate senior staff meetings with President and GM.
- Update and maintain contacts and distribution lists and directory of legislative members. Assist in scheduling meetings with Representatives, both locally and in Washington, DC for President and Board Chair.
- Handle financial accounting for Office of the President using the Software Business Systems (SBS) accounting system and assist with General Management budget planning.
- Participate on the planning committee for the annual Staff Trustee Luncheon.
- Perform Notary Public services as needed.
Staff Liaison to the Board
- Communicate with Trustees/Honorary Trustees/ Trustee Council on behalf of the President. Board duties include, but are not limited to, tracking Board terms & matrix, coordinating new Trustee orientation, Board travel/reimbursements when on station business, extensive duties around Board meetings, committees, engagement, and compliance, as well as staff liaison responsibilities to the Community Advisory Board.
Job Requirements
KNOWLEDGE & SKILLS:
- Able to maintain strict confidentiality, integrity and professionalism.
- Able to prioritize and balance multiple, often competing, responsibilities
- Knowledge of non-profit business functions preferred
- Able to maintain complex calendars
- Excellent interpersonal communication skills and experience working with the public
- Excellent written and verbal skills with high degree of accuracy
- Ability to organize filing systems, manage files and records
- Excellent computer proficiency in Word, Excel, Outlook, PowerPoint, Social Media and database programs
- Able to work with a high degree of independence
- Notary Public license or willingness to obtain
EDUCATION & EXPERIENCE:
- Associates degree or equivalent
- Five years progressively responsible experience working with executive level management
- Experience working with Board of Directors
