JOB SUMMARY:
OVERVIEW:
Performs complex secretarial and clerical tasks using a personal computer
Demonstrates on-going commitment to preparing young people for the workforce by modeling, mentoring and monitoring excellence in the eight Career Success Standards of:

DUTIES & RESPONSIBILITIES
MAJOR ACTIVITIES PERFORMED:
1. Demonstrates and abides by the Company Core Values and the operating principles
2. Prepares business letters, memorandums, reports, charts, etc.
3. Composes and prepares routine correspondence for signature
4. Takes meeting minutes and transcribes them for distribution to senior staff and other management personnel..Prepares recurring reports for the Regional Office.
5. Sends and retrieves messages via E-Mail
6. Faxes and retrieves incoming messages on a regular basis. Manages outgoing and internal mail.
7. Maintains inventory of property: i.e. computer equipment, data files, supplies, etc.
8. Attends meetings and conferences to furnish information and take notes on behalf of the Academy Director.
9. Schedules appointments and maintains the Academy Director’s calendar.
10. Arranges for meetings and conferences. Makes travel arrangements for staff as necessary.
11. Assists the Academy Director with preparations and arrangements for special events
12. Establishes and maintains confidential files and records
13. Proofreads and corrects grammatical, punctuation and spelling errors
14. Answers telephones and directs calls to appropriate person. May handle routine calls and provide information as needed.
15. Orders necessary office supplies and equipment and enters the purchase requests to Costpoint
16. Operates office machines and instructs others in the operation of same
17. Assists in the training of new clerical personnel and students.
18. Attends in-service training sessions
19. Maintains and manages library of Academy Standard Operating Procedures
20. Weekly cafeteria lunch monitoring.
21. Performs other duties as assigned
Job Requirements
REQUIRED EDUCATION/EXPERIENCE:
Minimum: Associates Degree in business or secretarial science. Three years of experience in an office manager capacity.
Preferred: Two-year college degree in business preferably in office management or secretarial science and at least five years secretarial experience with emphasis in office management.
Knowledge Required: Ability to perform secretarial duties without immediate and constant supervision. Ability to type accurately at a fast speed. Proficient in the use of a personal computer; working knowledge of software applications such as , MS Word, Excel, PowerPoint, and Outlook. Thorough knowledge of office procedures. Good organizational skills. Excellent communication skills, both oral and written. Sound business telephone techniques. Ability to proofread and correct grammatical, punctuation and spelling errors. Ability to multi task in a fast paced office environment.
