Position Summary:
This position supports executive management member and direct reports responding to all administrative needs, projects, and other activites that may arise during course of business working collaboratively and cross-functionally across the organization, in coordination with executive administrative staff who support the business.
Position Responsibility:
- Provide administrative support including document preparation, responding to telephone inquiries, setting up meetings,teleconference arrangements, making domestic and international travel arrangements, meeting plans and other requests in a dynamic and fast paced environment.
- Supports executive management team member with confidential research and provides analysis as requested.
- Maintains systems and databases, such as customer relationship contacts, investment analysts, business partners, bankers and investors, stock programs, or other databases as required to support business needs of the executive and his/her direct reports.
- Coordinates and attends meetings on request, records minutes, and creates a summary of the meeting, highlighting the significant issues and project dates. Distributes minutes as required.
- Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
- Responsible for front desk back-up support on a scheduled basis where required. This includes oversight and back-up support related to office supplies, phones, mailing and other duties the Receptionist performs.
- Generates and submits expense reports on behalf of direct manager or others as directed.
- Creates and manages executive management calendar, coordination and collaboration across company lines to facilitate effective work production.
- Frequent interaction with the Board of Directors and Senior Management.
- Handles details of a highly confidential and critical nature. Maintain confidential records and files
- Provides administrative support to executive Vice President.
- Handles details of a highly confidential and critical nature.
- Collects and prepares information for use in discussions/meetings of executive staff and outside individuals.
- Makes high-level contacts of a sensitive nature inside and outside the company.
- Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors.
- Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.
- Types memos, letters, e-mails, faxes, and creates expense reports
- Assist in complex project coordination and support departmental initiatives
- Prepare agendas, presentations, handouts, and other written materials for distribution at meetingsThis list is not all-inclusive, other duties may be assigned as needed.
- Maintain high level of confidentiality at all times
- Excellent attention to detail.
- Strong written and verbal communication skills.
- Proven knowledge of MS Office programs, particularly Outlook, Word, Excel, and PowerPoint.
- Ability to work well under pressure in a fast-paced, diverse, demanding environment.
- Ability to act independently and handle multiple priorities with demonstrated decision making capabilities, exercising appropriate judgment.
- Bachelors degree in Business Administration or related field required.
- Minimum of 8 years experience in related position
